The World Health Organization (WHO) is seeking a highly organized and detail-oriented Travel and Protocol Clerk to join its Country Management Support Unit (CSU). This role involves supporting the travel, logistics, and protocol needs of WHO staff and guests while ensuring compliance with organizational policies and procedures.

Key Responsibilities

Travel Coordination

  • Provide logistical support for arrivals and departures of WHO personnel, official visitors, and special invitees.
  • Facilitate the issuance of visas on arrival for guests and ensure timely updates on staff travel itineraries.
  • Arrange travel for WHO staff, their families, and personnel on official missions.
  • Assist in producing reports and statistics related to travel activities.

Protocol Management

  • Maintain relationships with embassies, international agencies, and government ministries for protocol-related processes.
  • Process visas, staff service cards, and work permits in collaboration with the Ministry of Foreign Affairs.
  • Liaise with customs and airport authorities to ensure smooth passage for high-profile delegates.
  • Support the organization of protocol aspects for official WHO events.

Administrative Support

  • Assist with document handling, including filing, scanning, and dispatch.
  • Process official vehicle registrations and licenses through the Ministry of Foreign Affairs.
  • Facilitate customs clearance for shipments in compliance with established protocols.

Requirements

Education

  • Essential: Completion of secondary school education with administrative training.
  • Desirable: Diploma in a relevant field or training in UN systems is an advantage.

Experience

  • Essential: Minimum of 3 years in a similar role within public or private institutions, preferably with experience in UN systems.
  • Desirable: Experience in general administrative support.

Skills

  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Word and Excel.
  • Strong diplomatic skills and the ability to engage with diverse stakeholders.
  • Fluency in English (written and spoken).
  • Valid driving skills with proven competence.
