Job Description

VanB Estates is seeking a tech-savvy Executive / Personal Assistant to provide high-level support to an entrepreneur and product manager overseeing multiple ventures in technology, real estate, and e-commerce. This position is ideal for a proactive professional who thrives in dynamic environments, manages priorities effectively, and ensures smooth operations across projects and communications.

Key Responsibilities

  • Administrative Support: Manage inbox and calendar, draft professional correspondence, coordinate meetings, and maintain organized digital filing systems.
  • Project & Workflow Coordination: Update and track progress using tools like Asana, Trello, or Notion, while ensuring deadlines and deliverables are met.
  • Research & Reporting: Conduct vendor, market, and product research, summarize findings for decision-making, and prepare clear briefs, reports, and spreadsheets.
  • Operational Support: Handle follow-ups with vendors, partners, or internal teams, assist with light financial tracking, and anticipate recurring needs without constant instruction.

Requirements

  • Bachelor’s degree preferred, or equivalent relevant experience.
  • 1–3 years of professional experience as an executive assistant, operations associate, or in project coordination.
  • Strong technical proficiency with Google Workspace, Notion, Slack, Excel/Sheets, and AI productivity tools.
  • Excellent communication skills, both written and verbal.
  • Highly organized, detail-oriented, and capable of managing multiple priorities.
  • Proactive, independent, and able to solve problems quickly.
