Job Description

The Payroll Specialist is responsible for end-to-end payroll processing, statutory compliance, accurate record-keeping, and responsive payroll support for employees. The role contributes to operational efficiency and regulatory compliance across HR and Finance operations.

Key Accountabilities / Responsibilities

Payroll Processing & Administration

  • Process monthly payroll accurately and on time, including salaries, allowances, bonuses, and statutory and voluntary deductions.
  • Maintain and update payroll records, including changes to exemptions, insurance coverage, savings deductions, job titles, departments, and bank account details.
  • Calculate and process overtime, shift differentials, and special payments in line with approved policies.
  • Handle payroll adjustments such as leave encashments, final settlements, and back-pay calculations.

Compliance & Reporting

  • Ensure compliance with all applicable federal, state, and local payroll, wage, and hour regulations.
  • Prepare and remit statutory deductions, including PAYE, Pension, NHF, and NSITF, to relevant authorities within stipulated timelines.
  • Generate and distribute payslips, annual tax statements, and payroll reports to employees and management.
  • Support internal and external payroll audits and maintain accurate records for statutory retention periods.

Stakeholder Support & Query Management

  • Serve as the primary point of contact for employee payroll inquiries and resolve issues promptly and professionally.
  • Collaborate with HR to ensure timely updates for new hires, exits, and employee data changes in the payroll system.
  • Work with Finance to reconcile payroll accounts and ensure accurate funding for payroll disbursements.

Systems & Process Improvement

  • Utilize payroll software efficiently and recommend improvements to enhance automation and processing efficiency.
  • Identify opportunities to streamline payroll workflows to improve accuracy and turnaround time.
  • Ensure data security, confidentiality, and compliance with data protection standards for payroll information.

Qualifications, Skills and Experience (Requirements)

  • Bachelor’s degree in Accounting, Finance, Human Resources, or a related field.
  • Minimum of 5+ years of hands-on experience managing end-to-end payroll processes in a similar role.
  • Strong knowledge of payroll systems and software such as Sage, SAP, Oracle, or Zoho Payroll.
  • Advanced proficiency in Microsoft Excel, including VLOOKUPs, pivot tables, and formulas.
  • Demonstrated ability to handle confidential information with discretion and integrity.
  • Strong understanding of Nigerian labour laws, payroll tax regulations, and statutory deductions including PAYE and pension.
  • Excellent communication, interpersonal, analytical, and problem-solving skills with high attention to detail.
  • Ability to work independently and collaboratively in a fast-paced environment.
