Job Description

Smithstone Properties Limited is seeking an experienced Virtual Assistant & Operations Admin to support property management operations, tenant administration, serviced accommodation management, and business process improvement. This role requires a highly organized professional who can effectively manage administrative tasks, coordinate guest and tenant communications, and contribute to operational efficiency.

Location: Abuja (FCT)
Employment Type: Full-time
Work Schedule: In-Person (Monday – Friday), Remote (Weekends)
Start Date: Immediate
Working Hours: 8:00 AM – 5:00 PM (Weekend and after-hours availability required for guest emergencies)
Salary: ₦350,000 Monthly

Key Responsibilities
  • Manage property advertisements across approved platforms.
  • Respond to enquiries, schedule property viewings, and coordinate appointments.
  • Issue tenant application forms, tenancy agreements, and related documentation.
  • Support tenant referencing and Right to Rent verification processes.
  • Handle day-to-day tenant communications and resolve queries promptly.
  • Coordinate maintenance requests and liaise with contractors for repairs.
  • Monitor rent payments and send reminders when necessary.
  • Manage tenancy renewals, notices, and property records.
  • Prepare monthly property performance and administrative reports.
  • Provide virtual administrative support, including scheduling, email management, and data entry.
  • Create reports, presentations, and operational documents using PowerPoint and advanced Excel.
  • Identify opportunities for process improvement and implement approved solutions.
  • Maintain accurate property management records and internal systems.
  • Respond to guest enquiries across Airbnb, Booking.com, Vrbo, direct bookings, and telephone channels.
  • Manage guest onboarding, including ID verification and check-in instructions.
  • Handle guest complaints, special requests, and booking-related issues professionally.
  • Coordinate with cleaning teams, key collection partners, and property managers to ensure smooth guest experiences.
  • Monitor guest reviews and maintain a positive online reputation for managed properties.

Requirements
  • Minimum of 5 years’ experience in administration, operations, property management, or a related field.
  • Strong verbal and written communication skills.
  • Hospitality management experience is an advantage.
  • Proficiency in PowerPoint and advanced Excel, including pivot tables, reporting, and data analysis.
  • Familiarity with cloud-based tools and virtual collaboration platforms.
  • Strong organizational and time management skills.
  • Ability to multitask and perform effectively under pressure.
  • Excellent problem-solving and decision-making abilities.
  • Ability to work independently with minimal supervision.
  • Strong customer service mindset and interest in the hospitality industry.
  • Demonstrated ability to identify and implement process improvements.
