Job Description
Northwest Petroleum & Gas Company Limited is seeking a Protocol Assistant to provide general and administrative protocol services support to the Company.
Key Responsibilities
- Provide protocol and logistical support for the Company’s executives, guests, visitors, and other stakeholders during official engagements.
- Coordinate airport pick-ups, drop-offs, transportation, accommodation, and other travel-related arrangements for executives and official guests.
- Assist with flight bookings, itinerary preparation, hotel reservations, and other travel logistics as required.
- Support the planning and coordination of official meetings, events, ceremonies, conferences, and corporate functions.
- Liaise with relevant internal departments, government agencies, embassies, airports, hotels, airlines, and other external organisations on protocol-related matters.
- Receive and provide appropriate assistance to Company guests and visitors, ensuring a professional and courteous experience.
- Assist in coordinating executive movements and ensure that all logistical arrangements are confirmed ahead of scheduled engagements.
- Maintain accurate records of travel arrangements, official visits, protocol activities, and related documentation.
- Assist with visa applications, travel documentation, permits, and other official documentation where required.
- Monitor travel schedules and promptly communicate any changes, delays, cancellations, or other developments to relevant parties.
- Ensure vehicles, drivers, accommodation, meeting venues, and other logistical requirements are appropriately coordinated for official assignments.
- Provide support in managing invitations, guest lists, seating arrangements, and other protocol requirements for corporate events.
- Handle sensitive and confidential information relating to executives, guests, and Company activities with utmost discretion.
- Maintain professional relationships with relevant service providers and stakeholders to facilitate smooth protocol operations.
- Process and follow up on protocol-related requests, invoices, and supporting documentation in line with Company procedures.
- Perform other protocol, administrative, and logistical duties as may be assigned by the Line Manager.
- Perform any other immigration and protocol duties as may be assigned.
Key Requirements
- Bachelor’s degree in Business Administration, Public Administration, International Relations, Hospitality Management, Mass Communication, or a related discipline.
- Minimum of 3–5 years’ relevant experience in protocol, administration, executive support, travel coordination, hospitality, or a related role.
- Experience in a structured corporate environment will be an added advantage.
